Assistant Project Manager

The Assistant Project Manager (APM) is responsible to assist the Project Manager, Superintendent, Senior Project Manager, Project Executive, and/or Vice President with assigned projects. In this developmental stage, it is imperative that an APM becomes familiar with Executive Construction’s Policies & Procedures and embrace Executive Construction’s core values. The APM will become proficient at the following project management duties to support his/her/their direct supervisor and promote the interest of Executive Construction in all matters.

 

REPORTS TO

The Assistant Project Manager reports directly to a Project Executive or Vice President and works closely with a Senior Project Manager.

RESPONSIBILITIES

Collaborate with and support the project team in various phases of the project through contract execution. APMs are expected to become proficient in the following through training and experiences:


Preconstruction / Estimating / Bidding

  • Understand construction sequence to create detailed project schedules
  • Identify and track long-lead materials
  • Visit potential site to become familiar with existing site conditions (as required)
  • Identify trades required to complete the project
  • Prepare bid lists of qualified trade contractors
  • Prepare quantity takeoffs, utilizing current software
  • Manage the distribution of bid drawings and specifications to trade contractors
  • Review trade contractor bids to confirm responses are in accordance with project documents and inclusive of all required scope
  • Compile detailed trade scope sheets for bid review
  • Assist in the preparation of Conceptual / Schematic / Design Development estimates
  • Understand how to best leverage Executive Construction’s Self-Perform group (SPE) for our client
  • Understand general conditions and what is included within these costs
  • Support presentation efforts

Contracts / Proposals

  • Understand the contractual variations of each type of contract; i.e., lump sum contract vs. Guaranteed Maximum Price (GMP – at Risk)

Purchasing

  • Assist with the review of completed trade scope sheets for accuracy
  • Assist in preparation of detailed purchase orders and subcontract agreements; understanding the importance of timely and accurate trade contract issuances
  • Manage timely submittals to comply with the project schedule and material lead times through formulation of a submittal tracking log

Job Management

  • Participate in job startup meetings and weekly Owner-Architect-Executive Construction (OAC) progress meetings
  • Coordinate job Meeting Minutes and agenda with supervisor
  • Support the project finances through project management software
  • Assist in the solicitation of Change Order pricing from trade contractors; review, track and monitor with oversight from supervisor
  • Assist in the preparation and tracking of Requests for Information (RFIs)
  • Communicate with and support the Superintendent
  • Walk the project site for quality control and safety protocols
  • Assist with organization and implementation of timely project closeout

Business Development

  • Enhance Executive Construction’s reputation with partners and clients through performance
  • Expand your network by attending appropriate social and business events
  • Develop and maintain good working relationships with a variety of people, including owners, managers, designers, supervisors, tradespersons, and craft workers

REQUIRED SKILLS / ABILITIES

  • Ability to learn Project Management Software (e.g., Viewpoint, On-Screen, Bluebeam Revu, Building Connected or similar systems)
  • Basic skills in Microsoft 365 suite
  • Excellent verbal and written communication skills
  • Ability to remain flexible and efficient in a fast-paced environment
  • Ability to make intelligent and quick decisions, working well under pressure, and when faced with unexpected occurrences or delays
  • Ability to effectively analyze and solve problems
  • Must be able to traverse and inspect all areas of jobsites
  • Must be on-call to address issues at the jobsite
  • May require travel

EDUCATIONAL REQUIREMENTS

  • Bachelor’s degree in Construction Management, Engineering, or similar program or relative construction experience
  • Internship or similar experience in construction industry preferred, but not required
